The Company is committed to maintaining a safe, secure, and respectful workplace for all employees, children, families, and visitors. This policy outlines our approach to workplace security, including physical premises, information assets, emergency response, and prevention of violence or harassment, in compliance with the Occupational Health and Safety Act (OHSA), the Employment Standards Act, 2000, and other applicable Ontario laws.

Purpose and Scope

This policy applies to all employees, contractors, volunteers, and students at Kidstruecare Learning Center. It aims to:

  • Protect the safety and well-being of children, staff, and visitors.
  • Safeguard company property, confidential information, and assets.
  • Prevent and respond to security incidents, including workplace violence, harassment, theft, unauthorized access, or emergencies.

Physical Security Measures

We implement reasonable measures to secure our premises, including:

  • Controlled access: Key cards, locked doors, sign-in/out procedures for visitors, and restricted entry to child areas.
  • Surveillance: CCTV in common areas (e.g., entrances, hallways, playgrounds) for safety and security purposes (not in private areas like washrooms).
  • Alarm systems and panic buttons in key locations.
  • Secure storage for medications, supplies, and personal belongings.

Employees must:

  • Wear visible ID badges at all times.
  • Report lost/stolen keys, badges, or suspicious activity immediately.
  • Not prop doors open or allow unauthorized individuals access.

Information and Data Security

To protect sensitive information (e.g., child records, employee data, financials):

  • Use strong passwords and company-approved devices/software.
  • Avoid sharing login credentials or accessing unauthorized systems.
  • Report suspected data breaches or phishing attempts to management promptly.
  • Follow confidentiality obligations (detailed in separate agreements or the Employee Privacy Policy).

The Company uses safeguards such as encryption, firewalls, and access restrictions.

Workplace Violence and Harassment Prevention

In line with OHSA requirements, we have zero tolerance for workplace violence or harassment. This includes threats, intimidation, bullying, sexual harassment, or any behavior that could endanger safety.

  • Risk assessments are conducted annually (or as needed) to identify hazards.
  • Domestic violence impacting the workplace will be addressed supportively.
  • Employees must report incidents or concerns confidentially to a supervisor, the Director, or our designated contact (e.g., safety@kidstruecare.com).
  • Investigations will be prompt, fair, and confidential where possible. Discipline may follow, up to termination.

Emergency Response and Incident Reporting

Procedures include:

  • Fire/evacuation drills (conducted regularly).
  • Lockdown/active threat protocols (e.g., "Run, Hide, Defend").
  • Medical emergencies, missing child protocols, and natural disaster plans.

All incidents (near-misses, accidents, security breaches) must be reported immediately using our incident form.

Employees receive training on these procedures during onboarding and annually.

Responsibilities

Management/Director: Develop, enforce, and review this policy annually; provide training and resources; consult with the Joint Health and Safety Committee (JHSC) or Health and Safety Representative (HSR) if applicable.

Employees: Comply with all security measures; report hazards/incidents; participate in training and drills; take reasonable care for their own and others' safety.

All: Promote a culture of security awareness and vigilance.

Training and Review

Security training (e.g., violence prevention, emergency response, safe arrival/departure of children) is provided upon hire and refreshed as needed. This policy is reviewed at least annually or after any significant incident/change in law. Updates will be communicated to employees.

Inquiries and Concerns

Direct questions or reports to our Safety Officer atsafety@kidstruecare.comor your supervisor. We encourage open reporting without fear of reprisal. For OHSA-related matters, employees may contact the Ministry of Labour.
